Privacy and cookies

Your account. We keep the information needed to manage your Sports & Social Club membership and your access to the site. This includes your name, email address, membership status, account dates, and a securely stored password. Some accounts may also contain information provided through older versions of the join form. We only keep information that is needed to operate the club and website.

Messages you send us. If you use the contact form we keep your name, your email and what you wrote.

Bookings. When you book an event we keep which event, what you paid and whether the payment went through. We also keep the reference numbers Stripe gives us for the payment.

Payments. Stripe takes your payment on Stripe's own page. Your card details go to Stripe, never to us. The site never sees your card number.

Payroll month records. Each month HR sends the club a list showing who pays their membership through payroll deduction. The site keeps a record of each month’s list, including the information needed to match payroll records to member accounts and whether that person was paying. The original file is not stored and this information is never shown on the site.

An abuse counter. To stop abuse, the site counts how many times an internet address tries to sign in, sign up, send a message or pay. That count lasts up to one hour. Then it is gone.

You can see your own account on your dashboard.

The Committee runs the site. Committee members with an admin login can see accounts, bookings and contact messages.

Payroll month records are stricter. Only the Committee's super users can read them, and only by running a script. They do not appear on any page.

Stripe sees your payment. Google sees the map box on venue pages. The Cookies section below says more about both.

We do not sell your details. We do not share them with anyone else.

Your account: for as long as you have one. Ask us and we will delete it.

Contact messages: 12 months from the day you send them. Then we delete them.

Bookings and payments: for as long as your account exists, so the club can check what was paid.

Payroll month records: we keep these and do not delete them. The club needs to know who was paying and when.

The site sets one cookie. It is called payload-token. It is set when you sign in. It keeps you signed in for 2 hours. Then it runs out. Sign out and it is removed at once.

That is the only cookie we set. There are no analytics cookies. There are no advertising cookies. We do not track you.

Event and sport pages with a venue show a Google Maps box. That box comes from Google. Google may set its own cookies through it. We do not control those. You can read how Google uses your data.

Paying takes you to Stripe's own page. Stripe may set cookies there. That is Stripe's page, not ours.

You can ask to see what we hold about you.

You can ask us to fix it if it is wrong.

You can ask us to delete it.

Email the club at [email protected]. Say what you want. We reply within 2 working days.

One thing stays if you delete your account. The payroll month records come from HR's list, not from your account, so they are not deleted with it.
